File Upload Problems

You may experience problems uploading documents to our web-site. Below are the most common reasons.

Q:1 How do I know which Java Virtual Machine (JVM) my browser is set to?

A:  In your browser go to Tools->Internet Options and click  the Advanced tab while scrolling down you would see Java(Sun) or Microsoft VM or both section. If you see a right check under Java(Sun) then your Sun JVM is On and if it is not checked or Java(sun) is not present then you should see a right check under Microsoft VM which means your Microsoft JVM is On.

Q:2 I do not see the "Add" and "Remove" buttons in the file upload dialog box. What should I do?

A: Logout and close down your browser, login again and make sure you say yes to uploading the applet technology. If you still do not see the “Add” and “Remove” buttons then make sure you have either the Microsoft JVM or versions 1.4.2_03 or 1.5 of Sun Java Virtual Machine (JVM). To get the JVM click the URL http://java.sun.com/j2se/1.5.0/download.jsp or try cutting and pasting the URL in your browser's Address field. Choose JRE 5.0 and click “Download JDK 5.0 Update 4” then select appropriate version for your operating system. Close the browser, we recommend you  restart your PC and login to eprocurement to upload the documents. If the above does not work then download the latest version of Sun JVM via www.java.com then close all the opened browser(s), restart your PC and login back to eProcurement to upload the documents.

Q:3 Did you receive a message regarding the uploading of applet technology?

A: If you did not then this is probably because your IE settings are set incorrectly or you are using other kind of browser. We recommend that you ask your IT department for assistance to ensure that their internet explorer security settings are set as follows.

Note: to access these security levels the user (or IT support) goes to Tools>Internet Options>Security>Custom level.

§         I.E. Security setting should be set to medium-low

§         Java permissions should be set to medium safety

§         Installation of desk top items should be set to enable or prompt.

§         Under scripting all the following should be set to prompt or enable, Active scripting, Allow paste operations via script and scripting of Java applets.

In  "Advanced" enable the Java Virtual Machine (JVM) to either Microsoft VM or Java(Sun). If you are using Microsoft Virtual machine in “Advanced” the  “JIT compiler for virtual machine enabled” should be ticked.

OR

A: This may also be because you have "pop-up blocker" software installed on your PC.  You will need to ensure this  is not enabled whilst you are using eProcure.

Q:4 Did you say yes to uploading the applet technology?

A: If you said no to this question then you will need to close down Internet Explorer, log in again to eProcurement and say "yes" next time you see this pop-up window.

Q:5 The eProcurement page which enables you to Add or Remove documents to your QR is missing the "Add" and "Remove" icons.  If you login on another computer however, the icons are available.

A: If you have set your internet options as detailed in 3. above you should not get this problem. If you do, then you should contact your IT support to fix this problem, as you need to set the default Java Runtime Environment in IE.

Q:6 When you uploaded the document did the loading information hang at say 32k out of 33k?

A: The connection could have been disrupted or timed-out. Try closing the browser and reconnecting to the internet and eProcurement. Then try zipping the files before uploading. Make sure the internet connection is at least 56K.

Q:7 When you upload the documents, you get a CFFILE error.

A: The workaround is to zip the files together and make sure the zipped file name does not contain multiple dots or other special characters.

Q:8 You deleted a file and tried to upload a new version and it will not work.

A: The solution is to rename the file.  For example if the original file was quotation.doc, the new file should be renamed to quotation1.doc.

Q:9 You were uploading the document and you got a message stating "Awaiting a response from the server".

A: Check that the name of the document that you are uploading does not include an "&" or other character as this can block the document upload. If the file name does include an "&" or other character you need to rename the file without this character and try uploading again.

Q:10 When you try to upload documents, you get the error, "The applet parameter 'submit(formstr)' is missing or invalid."

A: The solution is to make sure you have either the Microsoft JVM or versions 1.4.2_03 or 1.5 of Sun Java Virtual Machine (JVM).

Q:11 When you try to open a PDF document, you get the error, "Error locating Object Handler".

A: Be sure you have Acrobat Reader 5.x or greater installed and that it is installed properly.

Q:12 When uploading a file, you get the error, "Waiting for server to respond".

A: Be sure the filenames that you are uploading do not have the ampersand "&" character in them.

Q:13 When you upload documents, you get the error, "Error sent to server com.ms.dll.win32 exception; the connection with this server was lost."

A: The solution is to try uploading with JUST SSL 2.0 checked. Go to the Tools option on the IE browser menu, click the Internet Options... option, click the advanced tab, scroll to the Security and make sure that "Use SSL 3.0" is UNchecked and "Use SSL 2.0" is checked. If that still doesn't work, you need to enable the default Java Virtual Machine to Microsoft VM or Java (Sun).

Q:14 What do I do if I get a HTTP 400 message when I try to upload my documents?

A: This means that your connection to the site may have gone down or more likely that your local IT settings on the firewall or elsewhere might be blocking the upload of documents. You need to contact your IT department to confirm this.

Q:15 The browser freezes while uploading my documents, What should I do?

A: You might encounter this problem when your PC has either the old Java Runtime environment or non recommended version of Sun Java Virtual Machine (JVM). Download 1.4.2_03 or 1.5 of Sun Java Virtual Machine (JVM).

Q:16 Security Warning! appears again  before the document upload even when I selected  'Yes' during previous upload.

A: In order to avoid popping up of this Security Warning you need to CHECK "Always trust content from The Johnathan Group Inc." and then click YES.

Q:17 How to use a UNC path as Upload Folder in the Upload Dialog ?

A: In the 'Select files to upload' dialog, you can enter a UNC path in the 'Look in' box. If you then select the 'Set' button the folder contents of the UNC path entered will be displayed and any files required for upload can be selected.

Software

Q:1 I am unable to upload the software to allow me to add documents to your web site.

A: Please reset your internet security to medium-low.

Q:2 How does my browser need to be configured?

A: Go to "Tools" "Internet Options" "Security" "Custom level".

·         I.E. Security setting should be set to medium-low

·         Java permissions should be set to medium safety

·         Installation of desk top items should be set to enable or prompt.

·         Under scripting all the following should be set to prompt or enable, Active scripting, Allow paste operations via script and scripting of Java applets.

In  "Advanced" enable the Java Virtual Machine (JVM) to either Microsoft VM or Java(Sun). If you are using Microsoft Virtual machine in “Advanced” the  “JIT compiler for virtual machine enabled” should be ticked.

Q:3 How do I clear my browser's cache?

A: Go to "Tools", "Internet Options" and refer to the "Temporary Internet Files" section.

·         Click "Delete Files..." and place a tick in the box labeled "Delete all offline content", then click "OK"

·         Click "Settings..." and select the option labeled "Every visit to the page." In addition you may reduce the amount of disk space available to your browser for storing temporary files, we recommend 1 or 2 Megabytes. Click "OK"

Q:4 What are the minimum software requirements to use eprocure?

A: You must have IE 6.0 or greater, Win 98 or greater, MS JVM or Sun JVM installed, and must accept the Infomentum Applet Technology (distributed by The Johnathan Group Inc.)  message when it pops up for uploading documents. We recommend that your internet connection is at least 56Kb when uploading and that you have cookies enabled on the browser.

Q:5 I am using Windows 98 and I want to add pdf documents to the site. What is the best way to create them to minimize the file sizes?

A: It is recommended that you use Adobe Acrobat  Distiller to create the documents rather than Adobe Acrobat Writer as Distiller produces a smaller file size. Before you use Distiller for the first time please make sure that it is set up correctly. On your pc click on Start, then Settings and then Printers. Place the cursor over the the printer called "Acrobat Distiller" and right click, then left click to select Properties. Now select Adobe PDF Settings and make sure that the following are selected

Do not send fonts to Distiller (this reduces the file size)

Prompt for the pdf file name (this allows you to save the pdf version where you want to in your local directories)

Delete log files for successful jobs

Then click on Apply and then on OK.

You can now open your document, select file/print and then select the printer named "Acrobat Distiller" and click OK. You will then be asked to select a location for the pdf file to be saved to on your pc or network.

If at a later date you wish to print a hard copy of your document, you must remember to change the printer back, to the hard copy printer, beforehand.
